Our photographers capture arrivals, conversations, performances and celebrations with professional cameras. The coverage plan follows your event priorities rather than keeping guests at a fixed station.
Spot: register once
Guests can register with the photographer or through QR signage and choose their delivery details. Explain and obtain the required consent for face matching and contact collection before participation.
Share: a personal photo stream
SpotMyPhotos connects matched images to each participant’s gallery. Brand the images and delivery experience, and plan organizer access to the photo stream. Multi-day coverage and follow-up messaging can be scoped, with marketing consent kept separate from photo delivery.

Your producer will confirm registration and delivery options for the event. Agree the organizer’s gallery access and guest communication before the shoot.
Can live delivery cover the whole event?
Yes, it can be scoped across photographer-led coverage rather than limited to one booth. Agree which photographers feed the delivery workflow, how guests register, the required connectivity and organizer access. Guest consent and any marketing opt-in remain separate decisions.

What you receive
Participating guests receive their matched photographs in a private gallery. The organizer can follow the event through a live photo stream.

Plan opt-in registration, gallery identity, photo overlays and guest delivery together. Optional central printing is a separate operating choice. Contact collection is consent-led, not an automatic promise of a marketing list.

Provide the run of show, coverage priorities, attendee registration plan, and image-use permissions. Agree consent and gallery access before doors open.
Do we need a dedicated booth?
Roaming coverage does not need a fixed capture booth. Registration, charging and any optional printing still need agreed locations. Share the run of show, priority people and sponsor moments so the photography team can plan its coverage.
Can guests collect printed photographs?
Yes, when a central printing station is included. It needs its own power, staff, supplies and collection space; it is not automatically part of roaming digital coverage.
How should we plan guest photo delivery?
Agree opt-in wording, delivery channels, gallery access and retention before the event. Coverage and connectivity affect availability, and photo delivery does not automatically enroll guests in sponsor marketing.
Your dedicated production team
A dedicated team handles the project, with our own staff operating the experience. Creative preparation, setup, guest guidance, and handoff are planned as one turnkey service.
Connectivity and venue coordination
We bring our own 5G connection, or plan Starlink for outdoor and remote events where appropriate. We confirm coverage and site conditions in advance, and coordinate marshalling yards when heavy load-in requires them.
Insurance and approvals
A $5M certificate of insurance is available on request. Send the venue’s certificate-holder details and access requirements to your project team.
How do we plan for queues and peak attendance?
Share the expected guest count, busiest arrival periods and operating hours. Capture, processing and collection may run at different speeds. We test the selected workflow before confirming capacity; extra kiosks or finishing stations are scoped where they solve a real bottleneck.
When should we supply artwork?
For a branded production, a useful target is physical-branding approval around four weeks before the show, digital creative around three weeks before, and final sign-off 7–10 business days before load-in. These are planning targets, not universal lead times; fabrication and custom development may need longer.
What should our agency, sponsor and venue provide?
Share the date, location, booth number, floor plan, hours, access windows and production contact. Send vector logos, brand guidelines, campaign messaging and required legal copy, with one creative approver. The final plan assigns power, connectivity, venue permissions and guest-flow responsibilities clearly.
How are guest data and sharing handled?
Agree the fields, consent language, gallery access, delivery channels and retention period before launch. Receiving a photo is not blanket permission for marketing. Uploading, generation and delivery depend on connectivity; the event plan should include a tested response to an interruption.
